Sell and honour a pass

Set up the passes you sell, sell one to a rider, and use it at check-out until the last ride or its expiry date.

Set up the passes you sell once, sell one to a rider when they pay, and tick a ride off it at each check-out until the last ride is used or the pass runs out.

Steps

  1. Set your ride prices first: go to Settings → Pricing and fill in the Base price for each ride type. A pass's regular price is worked out from these.
  2. Go to Settings → Passes and tap Add preset. Give it a Name (what you'll pick when selling, such as "10 rides"), the Number of rides, the Validity, and the Eligible ride types, or Any ride type.
  3. Set what the rider pays with Discount % or the discounted price, then tap Save preset. Add one preset for each pass you sell. Every field is explained in Pass & voucher setup.
  4. When a rider buys a pass, open Passes and tap Issue pass.
  5. Choose the rider under Recipient and the pass under Pick a pass type. The price fills in by itself; tap Add discount if you agreed a different one.
  6. Under Payment, set the Payment method to how they paid you. Check the summary and tap Issue pass.
  7. At the ride, once it has started and the rider has a horse, the pass is used on its own. If it isn't, open the ride from Schedule, go to Allocate & Settle, and if the wallet button next to their name still isn't green, tap it, then Pass/voucher, and pick their pass under This rider. One ride comes off the pass.

If something's off

  • Nothing to choose under Pick a pass type. You haven't set up any passes yet. Tap Open settings (or do steps 2 and 3), add a preset, then come back and issue the pass.
  • A family wants to share one pass. Turn on Allow pass sharing under Settings → Passes. When you sell the pass, tap Add next to Recipient to add each extra rider. For a one-off, search for the parent's pass in the check-out chooser and tap Borrow for this ride.
  • You picked the wrong pass at check-out. Tap the undo button next to it, then Undo payment. The ride goes back on the pass, and you can pick the right one.
  • The rider comes back after the expiry date with rides left. Open the pass in Passes, tap Edit and choose a later Expiry date. It is used for their rides again. More on passes running out: Renew or extend a pass that's running out.

What happens by itself

  • If the rider uses the app, the pass shows up under Passes in their app as soon as you issue it, with the rides they have left.
  • When the last ride is used, the pass moves to Used on the Passes page. After its expiry date it moves to Expired and is no longer used for their rides on its own. To let them use the rides left, extend it (see If something's off).
  • The instructor is paid for a pass ride once the rider is settled, not when the pass is sold. To pay a different rate for pass riders, see Compensation.
