Take on an instructor or yard staff

Invite a new instructor or yard worker with the right role, then set how they're paid.

Bring a new instructor or yard worker into Nose: invite them with the right role, then set how they're paid, so their work is ready to settle in Earnings at the end of the month.

Before you start

You need their email address. The invitation goes there, and it's the address they'll sign in with. Then pick the role:

  • instructor: teaches rides, runs the schedule and takes payments.
  • helper: yard help. Sees the schedule and the horses, but can't touch money, bookings or settings.
  • admin: full control, money and settings included. Keep it for a co-owner or a manager.

One person can hold more than one role. For the full picture, see Who can see and do what.

Steps

  1. Open People and click Add person.
  2. Type their Full name and Email, and tick the role under Roles.
  3. Click Send invitation. They get an email, and they show under Pending invitations until they accept.
  4. They open the email and press Accept invitation. There's no password and no form: they're in, with the role you picked. Accepting an invitation shows their side.
  5. For an instructor, go to Settings → Compensation, switch to Instructors and click their row.
  6. Set a monthly salary, a set under Per ride (earning set), a Floor (per-ride minimum), or any mix of the three. If you haven't built a set yet, do that on Sets first; the options are explained in Compensation.
  7. Check the Effective from date and click Save.
  8. For yard staff, if you use the Rota: open Settings → Rota, click Add person under the team and pick their name under From the stable’s accounts. Then, in their row, choose their Pay (Per hour, Per shift, Weekly or Monthly) and type the amount. See Set up the rota.

If something's off

  • The invitation hasn't arrived. Check the address under Pending invitations, ask them to look in spam, then click Resend. You can also use Copy link and send it to them by text. If the address is wrong, Cancel the invitation and send a new one to the right address.
  • They're not on the Instructors list in Compensation. They haven't accepted yet. The list only shows people who have joined, so set their pay once their invitation is gone from Pending invitations.
  • They already ride at your stable. No new invitation needed: open them in People, go to the Membership tab and add the role. This works for anyone who already signs in to your stable.
  • They taught before you set their pay. Set Effective from to their first day.

What you'll notice

  • Until they accept, their row under Pending invitations reads Invited — not yet joined.
  • Once they've joined, they appear in People with their role. In Compensation, their row says No config until you save their pay.
  • As they teach, their paid rides collect in Earnings (they see only their own), ready for you to settle at the end of the month.
