Who can see and do what
The five roles (admin, instructor, helper, customer, horse owner) in one picture, and the differences people mix up.
On this page
Everyone at your stable holds one or more roles, and their roles decide what appears in their menu and what they can change: staff run the stable, while riders and horse owners see only what is theirs.
The five roles in one picture
| Role | Usually | What they see and do |
|---|---|---|
| Admin | the owner, or whoever runs the office | everything, including Settings, the price list, Boarding contracts and settling instructors' pay |
| Instructor | the people who teach | the schedule, horses, care, People and passes; runs rides and takes payment; sees their own Earnings |
| Helper | grooms and yard hands | the schedule (read-only), horses and the Care board; no money anywhere |
| Customer | riders, and parents booking for their children | their own rides, passes and what they owe |
| Horse owner | owners whose horse lives at your stable | their own horse under My horses |
Roles add up. An instructor who is also a horse owner at your yard sees the staff menu and My horses too.
What people mix up
Admin or instructor
An instructor does the daily work: schedules rides, checks riders out, sells passes and vouchers, adds new riders. The big things stay with the admin: Settings (including prices), Boarding contracts, and settling instructors' pay.
An admin can also give one instructor extras, such as setting their own price at check-out, in Settings → Pricing on the Instructors tab.
Helper or instructor
A helper looks after horses, not money. They see the day's rides and which horse goes where, tick off the care round, and can mark a horse as sick or away (on holiday or at a show). They never see prices, payments, balances or earnings, they can't add or change rides, and the People list is not in their menu.
Customer or horse owner
A customer rides. A horse owner owns a horse that lives at your stable. On a boarded horse, only the person who pays the contract sees the amounts; a co-owner who doesn't pay sees the horse but not the bills.
Who gives which role
An admin can give any role. An instructor can give only customer, horse owner and helper. New staff join by invitation; new customers and horse owners can be added straight away. For someone already at your stable, change roles on their Membership tab. A stable always keeps at least one admin.
Where you see this in the app
- People: every person, with a chip for each role they hold.
- A person's panel, Membership tab: change their roles.
- The menu itself: some items appear only when your stable uses that feature, such as Boarding, Requests and Wallet. If something is missing, check the role first, then whether the feature is on.
