Set up the rota

Turn on the Rota, choose who's on the team, set each person's pay and the usual week.

ForAdmins

On this page

The Rota is the yard side of your stable: who covers the yard in the morning, at midday and in the evening, and how long each person actually worked. Your yard staff clock in on their phone, the hours turn into an amount from the rate you set, and you pay those days in Earnings, in the same place you already settle instructors. Only admins can turn it on and set it up.

Nose records who was on duty and for how long — it is not a payroll system and does not replace your contracts, taxes or payslips.

Turn the Rota on

  1. Go to Settings → Rota (in the Modules & plan group).
  2. Switch on Turn on Rota.
  3. Nose asks Who’s on the team? and lists your stable's staff. Instructors and helpers are ticked already; admins, and anyone removed from the team earlier, start unticked.
  4. Confirm with Turn on Rota. Ticked people go straight onto the rota.

Rota now shows in the menu — for admins and for every team member. Turning the switch off hides it again — the hours already saved stay.

The team

The team list sits on the same settings page, under the switch. You'll find the very same list in two more places: the Team tab on the Rota page, and the Team tab of Settings → Compensation, next to your instructors.

Each row shows the person's role in Nose (Instructor, Helper, or No account) and two things you set:

  • Job title — free text, such as "groom" or "evening feeds". The rota shows it instead of the role. Up to 60 characters.
  • Pay — how their yard work is paid (see below).

To add someone, click Add person under the list:

  • From the stable’s accounts — anyone on your staff who isn't on the team yet. They keep their Nose role.
  • Person without an account — a name is enough. You type in their time yourself, and you can invite them to the app later with Give app access on their Contact tab (see People and roles) — only an admin can.

To take someone off the team, use the bin on their row and confirm. They're off the rota from tomorrow; their hours, shifts and settlements so far stay in the history, and their stable account doesn't change. If you add them back later, their saved usual week applies again from that day.

Pay

Pick one of five kinds for each person and type the amount:

PayWhat it pays
No rateNothing — Nose still counts their shifts and time.
Per hourEvery hour worked. For someone who also teaches, only the time outside their rides: rides are already paid in Earnings, so no minute is paid twice.
Per shiftEvery shift on the rota that day, however long it took.
WeeklyA fixed wage: each day on the team earns its share of the week.
MonthlyA fixed wage: each day on the team earns its share of the month.

Good to know about pay:

  • Weekly and Monthly are greyed out ("— salary in Earnings") for anyone Earnings already pays a monthly salary, so nobody is paid twice.
  • A new rate also applies to the past days Earnings hasn't settled yet. Nose asks before saving and names the first such day; days already settled keep the old rate.

The usual week

The rota for the weeks ahead is filled in from a usual week: who normally covers which shift on which weekday.

  1. Open Rota in the menu and click Edit usual week.
  2. Click the cells to mark who's on which shift.
  3. Under Applies from, pick tomorrow or next Monday.
  4. Click Save usual week.

Past days never change, and one-day changes you've already made stay as they are. To change a single day instead, see Run the rota.

The three shifts

A day has three shifts, with the same boundaries as the times of day on the Care board:

ShiftCovers
Morninguntil 9:59
Midday10:00–14:59
Evening15:00–20:59

There is no night shift in the Rota. The boundaries matter in one place: if someone forgets to stop the clock, Nose closes it at the end of their last shift that day (see Clock, corrections and days off).

Good to know

  • Staff only: the team is made of admins, instructors and helpers of your stable, plus people without an account that you add by name.
  • What a team member sees: the whole stable's rota, their own hours, and their own amount — never anyone else's pay. Helpers still can't open Earnings or Finances.
  • Turning the Rota off and on again keeps the team, the pay and every hour recorded.
  • While Earnings still has unsettled Rota days, turning the Rota off asks first and says how many there are: once it's off, those days leave Earnings until you turn it back on. Go to Earnings takes you there to settle them first; Turn off Rota turns it off anyway. Days already settled stay in Earnings and in Finances.
