How money moves

From a ride's price to the instructor's pay: how the rider paid, when it counts in your figures, and why a pass ride brings in no new money.

Every ride has a price. The rider covers it with money paid today, or with something paid for earlier. A pass or voucher counts as money in on the day it is sold; every other ride payment, and the barn's share, counts on the day of the ride. The instructor is paid for a rider's seat once it is fully paid.

From price to pay

  • The price. Each ride type has its price in Pricing. At the ride, an admin (or anyone allowed to change prices) can change it for one rider with Edit price, even to 0.
  • How the rider paid. Cash, Card and Transfer are money handed over today. A pass, a voucher or the rider's balance was paid for earlier, so no new money comes in at the ride.
  • In your figures. A pass or voucher counts in full on the day it is sold. Any other ride payment, including from the balance, counts on the day of the ride. Barn share shows what each ride earned the barn after the instructor's pay, also on the day of the ride.
  • The instructor's pay. A seat counts toward the instructor's pay once it is fully paid. While any rider on a ride still owes, the ride waits on To settle and can't be settled. Rates, including a separate rate for riders on a pass, are set in Compensation.

Three things people mix up

Money taken and money earned. A 4-ride pass sold for 1,200 counts in full under Pass/Voucher sale (and in the Passes and vouchers line in Finances) on the day you sell it. Barn share counts 300 on each ride as it is taught, less the instructor's pay. Until every ride on the pass has been taught, the two differ. Both are right.

Paid versus paid today. A rider on a pass is fully paid. A busy week of pass riders can show plenty of rides and little cash: you were paid in advance.

Payout and settlement. Payout is what the instructor earned. Settlement (shown as Cash to me on the bar at the bottom of To settle) is the cash they collected minus their payout: what they hand over to the barn. When most of their riders paid by card or with a pass, it drops below zero. Then the barn owes the instructor the difference.

Where you see this in the app

  • One rider's payment for one ride: the ride's Allocate & Settle tab. See Settling a ride.
  • What each instructor is owed, and the barn's share: Earnings. Instructors see only their own numbers, without the barn's share. See Earnings.
  • Every pass sold, and how many rides are left on it: Passes. See Passes.
  • The month's revenue, costs and result: Finances, for admins, once it is turned on. See Finances.
