Passes, vouchers and balance
Three things that can all pay for a ride and often get mixed up: what each one is, and when each is used.
ForAdminsInstructorsRiders
A pass and a voucher are things a rider holds and uses up. The balance is money a rider has paid your barn in advance, or still owes. All three can pay for a ride, which is why they get mixed up.
The three side by side
| Pass | Voucher | Balance | |
|---|---|---|---|
| What it holds | a number of rides, until an end date | an amount, some rides or a whole pass, until an end date | money, either in credit or owed |
| Who it's for | the rider who rides on it | usually a gift for someone else | the rider's own account with your barn |
What people mix up
A pass and a rides voucher
Both count rides and work the same way at the ride; what differs is who they're for. A pass belongs to the rider who uses it. A voucher is made to be given: it comes as a printable card with a code, and it can go to someone who doesn't have an account yet.
A Pass voucher is not a pass yet. It becomes one with Convert to pass, and the pass's validity starts on the day it's converted.
An amount voucher and balance
Both are money. An Amount voucher is a gift card with a face value and an end date. At the ride it pays as much as it can; the rider pays the rest another way, and any value left stays on the voucher for next time.
The balance is the rider's running account with your barn. It goes up when they pay in advance, pay too much or get a refund, and it can show what they owe instead of credit.
Rides left and money owed
A rider can have three rides left on a pass and still see To pay in their Wallet: rides left and money owed are counted separately. The balance goes down when something is charged to it: a ride, or a pass or voucher sold From balance. A ride paid with a pass or voucher, or in cash or by card on the spot, doesn't change it.
Where you see this in the app
- Passes lists every pass and voucher your barn has sold.
- At check-out, passes and vouchers are under Pass/voucher; the balance is under More.
- In People, an admin can open a person's Balance tab to see what they've paid and been charged.
- Riders see their rides left under Passes in their menu. Their Wallet shows To pay or Available credit.
- The Wallet only appears if your barn has switched on Enable customer wallet (adding funds) in Settings → Balance and online payments. Passes and vouchers show either way.
