People and roles
Everyone at your barn — riders, staff, and helpers — with activity, passes, balance, and family, plus roles, status, and invitations.
ForAdminsInstructors
On this page
The People page lists everyone connected to your barn — the riders who use it and the staff who run it. Each person's activity, passes, balance, and family sit one click away, alongside their roles, status, and invitations. Admins and instructors can open it.
Finding someone
- Search by name, email, or phone in the box at the top.
- Filter by role using the tabs next to the search box — All, Owner, Instructors, Helpers, Clients, and Horse owners each show a live count.
- Switch between Active and Deactivated people with the toggle beside the search box.
Reading the row
Each row shows:
- Name and contact — the person, with their email underneath.
- Groups — the customer groups a person is in, once your barn has groups (see Customer groups).
- Role — one chip per role a person holds; a person can hold more than one. A rider with no barn membership yet (a walk-in, or someone who's only ever been added to a booking) shows as not a member instead of a role.
- Rides (30d) — how many rides they've had in the last 30 days.
- Last activity — when they were last active.
- Active passes — how many valid passes they currently hold.
Switching to the Deactivated tab replaces every column after the name with when they were deactivated, and, for admins, a Reactivate action.
Roles and who may change them
- Admin (Owner) — full control: settings, billing, money, and managing every other person's roles.
- Instructor — runs the schedule, rides, passes, vouchers, and payments, and can grant the customer, horse owner, and helper roles — but not admin or instructor.
- Helper — a free, limited role. Can see the schedule and the horses list, and update a horse's welfare status (for example marking it resting), but can't touch money, bookings, or settings.
- Customer and Horse owner — the people who ride and own horses, managed day to day from this same page.
A person can hold more than one role at once — for example an instructor who is also a horse owner. Open a person's panel and go to the Membership tab to change their roles: admins can grant any role, instructors can grant customer, horse owner, and helper. Nobody can remove their own admin role, and a barn must always keep at least one admin.
Status and deactivation
Open a person's ⋯ menu and choose Deactivate. They immediately lose access to the barn; their history stays intact, and an admin can Reactivate them later from the Deactivated tab. You can't deactivate your own account. Deactivating someone doesn't delete anything — it refunds any pass credit and just removes their access.
Adding a person
Everyone joins through one button: Add person, in the top-right corner. What happens next depends on the roles you check.
- Click Add person.
- Type their Full name.
- Check one or more Roles. Admins can check any role; instructors can check customer, horse owner, and helper.
- Add their Email and, if you like, their Phone.
- Click the button at the bottom — it says Add person or Send invitation, depending on the roles.
Customers and horse owners are added right away
When you check only customer, horse owner, or both, the person is on your list the moment you click Add person, and the email is optional.
- No email — you get a walk-in record. It works for bookings, passes, money, and as a horse's owner, but the person can't sign in.
- With an email — a Give app access box appears under the email, checked to start with:
- Checked — a sign-in link to the app goes to this address. It becomes their sign-in address, and Nose writes to them there like any other client (ride reminders, receipts, and so on).
- Unticked — the email is kept on file for staff only. Nose won't write to it, and it can't be used to sign in. Nothing is sent — no invitation, no reminders. Handy for a horse owner or a client you contact yourself and who doesn't need the app. You can give them access later (see below).
A few things Nose does for you:
- No duplicates. If the email is already on file for a client at your barn, Nose updates that client instead of adding a second one, and adds any new client role you checked — for example a customer who now also owns a horse. When it adds a role, the message after saving says so. Nose stops and tells you instead when the email belongs to someone on your team, or — with the box checked — when it's kept on file for someone else. To change a team member's roles, use their Membership tab. If the add would give app access to someone on your Roster team, only an admin can make it — an instructor gets a message saying so.
- App access isn't taken away. If the person already signs in with that email, they keep their access even with the box unticked — the message says so.
- People from other barns. If the email belongs to someone who uses Nose elsewhere and the box is checked, they get an invitation instead and show under Pending invitations until they accept. With the box unticked, the email is simply kept on file — Nose never tells you whether it belongs to anyone else.
Staff join by invitation
Check admin, instructor, or helper — on their own or with other roles — and the email becomes required and the button changes to Send invitation. The person gets an email with a one-click sign-in link, and when they accept they get every role you checked. Only admins can invite other admins and instructors.
While an invitation waits to be accepted, it shows in a Pending invitations section above the list, where you can resend it or (admins only) cancel it.
For every way a rider can join your barn, see Getting your riders in.
A person's email: sign-in address or contact only
Open a person's panel and go to the Contact tab. Right above the email it says which kind of email it is:
- Sign-in address — the person has app access. This is the address they sign in with and where Nose writes to them. You can correct it while they've never signed in; once they have, only they can change it, from their own account page.
- Contact only — Nose doesn't email this address — the person has no app access. Only your team sees it (admins and instructors), and it can't be used to sign in. Change it whenever you like; leave it blank to remove it.
For someone on your Roster team, only an admin can change their email or give them app access: an instructor sees the email read-only, with a note that only an admin can change it, and no Give app access button.
Writing an email into the Contact tab of someone without app access keeps it on file — it does not let them sign in. If the email is already on file for someone else at your barn, you're told so; if it's really the same person, use Merge duplicate… on their row in People.
Giving app access later
When a person with a contact-only email wants to use the app:
- Open their panel and go to Contact. Check the email is right and saved.
- Click Give app access.
- Check the address and click Send sign-in link.
Nose emails a sign-in link to that address, which becomes their sign-in address, and Nose writes to them there like any other client.
- The button shows only for active people with a contact email saved, and only if you're allowed to manage all of that person's roles. For someone on the Roster team, only admins see it. A deactivated person has to be reactivated first.
- If the email already belongs to someone else at your barn, you're pointed to Merge duplicate… instead.
The person panel
Click a person to open their panel:
- Summary — payments at a glance (total paid, pending rides, waived), the passes and vouchers they hold, their ride history, and — under the notes — the Groups they're in.
- Contact — name, email, and phone, plus which kind of email it is (sign-in address or contact only) and, for someone without app access, Give app access.
- Membership — their roles (with the picker described above), status, and join date.
- Balance — the person's running balance: funds added, ride charges, settlements, and refunds, newest first, with a CSV export. Admins also decide here whether the person may pay later — see below.
- Guardians — for a child or dependent rider, the parent or guardian accounts linked to them.
Let someone pay later
Paying later is switched on person by person, and only admins can do it. It needs a Deferred payment limit above 0 in Balance and online payments — while that is 0, nobody can owe and this part of the tab is hidden.
- Open the person and go to Balance.
- Under Customer credit, turn the switch to Allowed.
- To give this person a different limit from everyone else, type an amount in Credit limit. It saves when you leave the box or press Enter.
- Leave the box empty, or press Reset to default, and the person follows the barn's limit again — including when you change it later.
- The limit doesn't stop anyone riding or paying later. It decides when the person is marked as over their limit in People and on the dashboard.
- Switching back to Blocked keeps the amount you typed for the next time you allow it.
Good to know
- A person can be both a customer and a horse owner — the same record links the two.
- Children don't need their own email — a parent can add them under their own account; see Family accounts.
- If the same person was added twice (once by you, once when they signed up), you can merge the two records so their history, passes, and balance end up in one place.
- You can correct the sign-in address of someone who has never signed in, and the change applies right away — for someone on the Roster team, only an admin can. Once they've signed in, only they can change it, from their own account page — their Contact tab shows it as read-only. You can still edit their name and phone. A contact-only email you can change at any time (for someone on the Roster team, an admin can).
