Keep the barn covered

Check that every morning, midday and evening shift has someone on it, see who is in, and find cover when someone can't come.

Every barn day has three shifts: morning, midday and evening. This guide is the quick daily check that each shift has someone on it, who is in right now, and what to do when somebody can't come.

You need the Roster turned on and your team set up first. If Roster isn't in your menu yet, see Set up the roster.

Check the week and fill the gaps

  1. Open Roster in the menu. The Schedule tab shows this week, with one row per person.
  2. Look at the Cover row at the top. It counts the people on each shift. A shift highlighted in amber that says nobody has no one on it.
  3. If a day-off request is waiting, the number on the Day-off requests button next to the tabs says so (it also waits in Requests). Tap the button to see the request's card. Check What stays on the roster to see who would still be on, then tap Approve or Decline.
  4. If approving leaves shifts empty, the card shows them as nobody left. After you approve, Nose opens the week with the first empty shift.
  5. To fill a shift, switch the rows to Shifts and tap + (Add person) on that shift. Next to each name you see how many shifts that person already has that day. Check the person who will cover it. (Or, in the People rows, just tap that person's empty cell on that shift.)
  6. If someone can't come and hasn't sent a request, tap their cell on that shift in the People rows. They come off that shift for that day only. The cell gets a dashed outline (hover over it to see usually yes, not this day). Then fill the shift as in step 5.
  7. To see who is in today, use the People rows and look under today's column. Each person's time so far is shown there, and a green dot means their clock is running now. Tap the time to see the day's details.

On a phone, Schedule shows one day at a time (use the arrows to change day). Tap a person's cell on an empty shift to put them on, and tap it again to take them off. The Cover counts and the green dot work the same way.

Changes you make here are for one day only.

If something's off

  • You can't check someone in the list. They're grayed out because they have a day off that day, or because that day has already been settled in Earnings. To change a settled day, open that person's day (tap their time, as in step 7) and tap Undo the day in Earnings, then Reverse day there.
  • You changed the wrong day. Tap the same cell again. It goes back to the usual week for that day.
  • The same shift is short every week. Change the pattern instead of fixing each day: tap Edit usual week, mark who's on, choose Applies from, and tap Save usual week.
  • You built this week cell by cell and want it every week. Tapped cells are for that one day. Tap Edit usual week, then Copy the week of …, check it, and tap Save usual week.
  • A shift shows someone, but nobody turned up. Take them off that day (step 6) and add whoever actually covered it, so the roster shows who really worked that day.

What happens by itself

  • When you change someone's shifts in the next seven days, they get a notification in Nose, and on their phone if they have notifications turned on.
  • The person who asked for a day off is told whether you approved or declined it. Approved days show on the roster as hatched cells (hover over one to see day off).
  • Every new week fills in from the usual week, so you only deal with the exceptions.
  • Care shows On duty today, who covers each shift today, to you, your instructors and the team.
