Run a regular group

Set up a weekly lesson, a club or a camp once with its riders and horses, then take payment from each rider, usually with a pass.

A regular group, such as a weekly lesson, a club or a camp, is one repeating ride with the same riders on it. Set it up once with its riders and their usual horses, and Nose books them onto the coming rides. Each rider then pays for their own place, usually with a pass.

Steps

  1. Optional, but handy: label the riders. On People, open a rider and, on the Summary tab under Groups, tap Add to group. The label shows under their name on every ride, and the Groups filter on People lists the whole group. Admins create new groups with Manage groups, then New group. See Customer groups.
  2. In the Schedule, tap Add ride (or an empty slot) and set the time, the Instructor and the Ride type.
  3. Under Horses, check the horse group that suits this group, the children's horses for example, so only those horses are offered. Admins set up horse groups on the Horses page (Horse groups).
  4. Open Repeat and choose Weekly for a lesson or a club, or Daily or Weekdays for a camp.
  5. In the Regulars card that appears, tap Add a regular, find the rider and pick their usual horse. Repeat for everyone in the group.
  6. Tap Add ride. The riders are booked onto the coming rides.
  7. Sell each regular a pass for this kind of ride: on Passes, tap Issue pass, choose them under Recipient, pick the pass under Pick a pass type, set the Payment method and tap Issue pass.
  8. On the day, open the ride's Allocate & Settle tab. Check that everyone has a horse. For anyone paying another way, tap the wallet button next to their name, choose Cash or Card, check the amount and tap Confirm payment.

If something's off

  • A regular is on the ride without a horse. Their usual horse was busy or would have gone over its work limit. On Allocate & Settle, tap the rider, then a free horse. Their pass isn't used by itself until they're on a horse.
  • Someone misses one week. Take them off that ride only, on its Allocate & Settle tab; the regulars stay as they are. If they turn up after all, + Add rider lists the missing regulars first, under Regulars. More in Cancellations and no-shows.
  • Someone joins or leaves the group. Open the first ride the change applies to, change the Regulars card on the Details tab and tap Save from …. Places a leaver has already paid for stay booked; Nose tells you how many, and you can remove them on those rides. Riders get no message about this, so it's worth telling them.
  • The term or the camp is over. A repeat has no end date. Open the first ride after the last session, tap Cancel, choose This and future rides, check what happens to each payment and tap Cancel this and future. The series stops there, and the riders booked on those rides get one message about it. For a camp, do this as soon as you've set it up, and tell the riders first: the message says the later rides are canceled.

What you'll notice

  • Riders get no message when you add them to the regulars. Their rides simply appear in their app, with the usual reminder the day before.
  • Regulars have a small gold marker under their name on Allocate & Settle.
  • The group is booked about three months ahead. Later weeks fill in by themselves as they come closer.
  • Shortly after the ride starts, a regular with a matching pass and a horse turns Settled by itself, and one ride comes off the pass.
