Run your riding day
The morning look, the horses, putting riders on horses, settling each rider and closing the day.
ForAdminsInstructors
Run the riding day from the schedule: look over the day in the morning, put every rider on a horse, settle each rider as their ride ends, and make sure nobody is left unpaid by the evening.
This page assumes your rides are already on the schedule. If you're still setting up, start with Your first week.
The day, step by step
- Admins: start on the dashboard. Open Dashboard from the menu. Needs you lists what is waiting. Requests to decide takes you to riders asking for a place: answer them before the day fills up (see Answer a ride request). Unpaid past rides opens a list of older rides that someone still hasn't paid for; tap one to open it and settle it.
- Open today in the day view. Go to Schedule and switch to Day. Instructors land here when they sign in. To see only your own rides, tap Everyone so it switches to Mine only.
- Check the horses. A horse that is resting, sick or away is not in today's rows — a line under the grid says how many horses are unavailable; tap it to see who and why. If a horse's status or flags changed today, a short strip above the grid tells you.
- Put every rider on a horse. Riders still without one sit in the No horse row at the bottom. Drag a name onto a horse, or tap an empty cell (+ assign) to put someone on that horse for that ride.
- Settle each rider. Tap a ride's heading to open it on the Allocate & Settle tab. Each rider on a horse has a small wallet button: tap it and choose Cash, Card or Pass/voucher. Transfer and Balance are under More. The line at the top of the tab counts down until it reads all settled. For every payment method, see Take payment at the ride.
- Close the day. Look back over today's rides. An UNPAID label on a rider in the day view, or a red wallet button on the ride's Allocate & Settle tab, means someone still owes for that ride. Settle it now while the rider is still in the barn. Admins can then check the till against Cash reconciliation, which shows the cash each instructor took that day. Add it to the Dashboard once, with Customize and Add widget.
There is no button that closes the day. Once every rider is settled, the day is done.
If something's off
- Someone turns up who isn't booked. Open the ride and tap + Add rider, or tap an empty cell in the day view. To sell them a pass on the spot, see Someone turns up without a booking.
- Someone doesn't turn up. If they were on a horse and have a pass, a ride may already have come off it once the ride started. A rider cancels or doesn't show up covers what to do, and how to give the ride back.
- A horse goes lame halfway through the day. Mark it unavailable and swap it on the rides it still has. See When a horse can't work.
- You took the wrong payment. Tap the rider's wallet button again. A cash, card or transfer payment can be removed; a pass, voucher or balance payment can be undone. The ride then shows as owed again, and you can take the right payment.
What happens by itself
- After a ride has started, riders on a horse whose pass or voucher covers it are settled from it automatically, even if they didn't turn up.
- Once a ride's start time has passed, the wallet button of anyone still unpaid turns red.
- A ride that stays unpaid turns up under Needs you on the Dashboard and drops off once you settle it.
- Each settled rider counts toward the instructor's pay, which you settle with them later (see Close your month).
