Take on a boarder

Register the contract for a new boarding horse, attach its monthly extras and let the owner into the app.

ForAdmins

On this page

When a new horse moves in, you register its contract, attach any monthly extras and make sure the owner can sign in to follow their horse. It all starts on the Boarding page, which only admins see.

Before the first boarder

Boarding has to be switched on, and you need at least one plan. In Settings → Boarding, turn on Enable the boarding module. Then, under Boarding plans, click Add plan: a name, what's included (owners see this) and the monthly price. The billing day and the other billing rules are explained in Plans, contracts & charges.

Monthly extras you charge for, such as supplements or blanketing, go in Settings → Services & price list first.

Register the horse

  1. Open Boarding and click New contract.
  2. Under Horse, search for the horse. Not in Nose yet? Type its name and choose Add new horse ‘…’.
  3. Under Payer, pick who pays. If the horse already has an owner in Nose, they're filled in. Someone new? Type their name, choose Add new client ‘…’, add their email and click Create and select. With an email, they get a sign-in link.
  4. Pick a Plan, or choose No plan (custom price) and enter the price you agreed.
  5. Set Starts. For a fixed-term stay, also set Ends (optional). If you take a deposit, enter it under Deposit.
  6. Check the Billing preview under the plan. It shows what will be charged and when.
  7. If the stay starts part-way through this month, choose under When does billing start? whether to bill the rest of this month or start next month. Then, if the horse is already in your barn, click Activate. If it arrives later, click Save draft; on the day it arrives, open the contract and click Activate contract.
  8. A monthly extra, such as a supplement or blanketing? Open the contract, go to the Services tab, click Attach service, pick the service and the From date, and click Save.

Extras charged each time, such as lunging, need nothing here: they're charged when you log them (see Bill your boarders).

Let the owner in

The contract's payer sees the horse on their My horses page as soon as they sign in. Check two things:

  • They can sign in. Without an email they can't. Open them in People, go to the Contact tab and save their email, then click Give app access and Send sign-in link.
  • They know what they can ask for. From their page, owners can request only the services you've marked Owners can request this service in Settings → Services & price list. Their requests arrive under Requests.

If something's off

  • The owner sees "No boarded horses". They aren't the payer or an owner of the horse. Check the Payer on the contract (Edit), or add them on the horse: Settings tab → Owners → Edit → Add co-owner, then save.
  • Someone other than the owner pays (a parent, a co-owner). Make the person who pays the Payer. An owner listed on the horse still sees the contract and its price; the bills and balance go to the payer.
  • Activating shows a warning about the payer's balance. It's a heads-up, not a block: the payer will owe money between payments, and your settings don't allow that yet. Click Activate contract to go ahead. If you want to allow it, the warning shows you how.

What happens by itself

  • While the contract is a draft, the owner already sees it under My horses, marked as not active yet. Nothing is charged.
  • Once it's active, the board charge appears every month on its own, together with any monthly extras on the contract. A deposit is charged when you activate.
  • The payer gets a message with each new charge and a reminder shortly before it's due.
