At the end of the month, check the hours your barn staff recorded on the Roster, then pay their days in Earnings, in the same place you settle your instructors.
Steps
- Open Roster in the menu and go to the Settlement tab. It shows the current month, person by person: shifts, time, rate and amount. If the month has just ended, step back to it with the arrow.
- Look at the Status column. Anyone showing Check (with a number) has time entries waiting for you. Click it, and under To check use Confirm if an entry is right, Fix to change the times, or Reject if it shouldn't count. Open day shows the whole day if you need more context.
- When no one shows Check any more, click Download CSV if you want a copy for your records or your accountant.
- Click Go to Earnings. On the To settle tab, click the person you're paying.
- Their days appear as Roster rows, one per day, with the shifts and hours, next to any rides or sales of theirs. Check the days you're paying.
- Click Settle with their name on it, check the total and confirm.
- Pay the person the way you always do: cash or bank transfer. Nose records what was settled; it doesn't send the money.
Repeat steps 4–7 for each person on the team.
If something's off
- A day says Check in Roster and can't be checked. Its time is waiting for you, often because someone forgot to stop the clock. Click the label to open the day on the Roster, then Confirm, Fix or Reject the entry. Back in Earnings, the day can be checked.
- A day has no time. Someone forgot to clock in, or they don't use the app. Open their day on the Roster and use Add an entry by hand.
- A paid day turns out to be wrong. On the Roster, open the day and click Undo the day in Earnings; on the Settled tab that opens, click Reverse day. Correct the day, then settle it again.
- Someone's rate was wrong. Change it in Settings → Roster. The new rate applies to every day not settled yet; days you've already paid keep their amount. See Set up the roster.
What you'll notice
- Today's day never shows up in Earnings: a day can be paid once it's over.
- A paid day reads settled in Earnings with the date, and nobody can change its time any more (see the mistake fix above).
- If you pay only part of the month, the Status says how many days are settled, for example settled in Earnings: 19 of 20 days.
- Finances includes the roster pay in its pay line, named Instructor and roster pay.
